Duplicate (Replacement) Diplomas and Diploma Notarization




Diplomas are mailed several months after the end of the term in which the degree(s) were awarded.  Degree candidates who need official verification of degree(s) awarded before the diploma is ready may order official transcripts or verifications via GOLD.  If your Degree Status in GOLD is "Scheduled," please request that the transcript or verification be held until the degree(s) are posted when placing an order.  Graduate degree candidates who need verification of degree(s) awarded before the diploma is ready should contact the Graduate Division.

Diploma Mailing

Diplomas are mailed approximately 3-4 months after the end of the term in which the degree was awarded.

Diplomas are automatically mailed to the "Diploma address" in GOLD.  If you have arranged for mail forwarding through the US Postal Service, your diploma will NOT be forwarded to your new address.  Please update your diploma address in GOLD to your most current address.  If you address does not completely fit in the space allowed in GOLD, please contact the Office of the Registrar at (805) 893-3592 or GraduationMatters@sa.ucsb.edu.  The diploma processing fee of $19.00 is assessed to your BARC account at the time you declare for graduation via GOLD (undergraduate students) or when your degree is scheduled to be conferred (graduate students).

Diploma Blocks

If you have a block on your account at the end of the quarter for which you have declared candidacy to graduate, your diploma will be held until that block is cleared.  Please log into your myBARC account to view any blocks.


If you have a BARC block, you must contact the BARC office by phone at (805) 893-3756, or by email to barc.info@bfs.ucsb.edu.  If you have a University Center block, you must contact the University Center by phone at (805) 893-4097.  Once your block is cleared, you will be required to submit a release form and pay an additional processing fee of $19.00 (Domestic mailing) or $24.00 (International or Certified mailing) to have your diploma mailed to you.  To initiate this process please download the Diploma Mail Request form.  Alternatively, you may pick up your diploma at the Office of the Registrar with a photo ID during normal business hours.

UCSB retains diplomas for 5 academic years.

UCSB is not responsible for diplomas which are lost or damaged in the mailing process.  Appropriate fees will be assessed for duplicate diplomas requested for those which are lost or damaged in the mailing process.  Please contact our office at (805) 893-3592 or email GraduationMatters@sa.ucsb.edu for more information.

Diploma Name

Diplomas will be printed with students' official name on record with the UCSB Office of the Registrar.  If you have declared degree candidacy, you can view your diploma name in GOLD ('Graduation' link on left-hand side.  Please check it for accuracy and report any errors or omissions to the Office of the Registrar at (805) 893-3592 or email GraduationMatters@sa.ucsb.edu.

If your name is more than 30 characters long (including spaces), your full name may not be reflected in our computer system.  Please contact the Office of the Registrar at (805) 893-3592 or email GraduationMatters@sa.ucsb.edu to ensure that your full name will be printed on your diploma.  If you would like to request an accent or special character on your diploma, please contact the Office of the Registrar at (805) 893-3592 or email GraduationMatters@sa.ucsb.edu.  Accents or special characters are only added to the diploma name by special request.

Replacement (Duplicate) Diplomas

If your diploma has been lost, damaged, or you have changed your name, and you would like to to order a replacement diploma, you may place an online order through GOLD.  Click here for instructions on how to place your order for a replacement diploma.
Multiple copies of diplomas are not issued, in accordance with University of California policy.  Your duplicate diploma will bear the signatures of current University officials and the statement "Duplicate Diploma Reissued [Month Year]."  This process takes 8-12 weeks.  Rush processing is not available for duplicate diplomas.

The fee is $50.00 (Domestic mailing) and $75.00 (International or Certified mailing).  

 

Diploma Notarization

If you need a notarized copy of your UCSB diploma, please contact the Office of the Registrar at (805) 893-3592 or email GraduationMatters@sa.ucsb.edu to obtain the proper request form.  The original diploma must be mailed to our office along with the request form.  We will make a notarized copy of your diploma and return the notarized copy and the original diploma to you.  This process takes 5-10 business days.  Rush processing is not available for diploma notarization.

Notarized photocopy of your diploma: The fee for one notarized copy of a diploma is $25.00.  Each additional copy is $15.00.  Additionally, there is a mailing fee of $19.00.  The mailing fee can be waived by providing a pre-paid FedEx, UPS, or USPS priority mail envelope with your order.

Notarization on the back of your diploma: The fee for notarization on the back of your diploma is $35.00.  Each additional copy is $15.00.  Additionally, there is a mailing fee of $24.00.  The mailing fee can be waived by providing a pre-paid FedEx, UPS, or USPS priority mail envelope with your order.

Apostille

UCSB does not process Apostille requests.  This is handled by the State of California Secretary of State's Office.  Students must complete this process on their own.
